Follow-Up Tasks: When They Appear and How They Work
The Follow-Up page helps you keep track of the next action needed for your leads and patients. Different types of follow-up tasks are created automatically based on what a contact does.
Workshop Registration Follow-Ups
When someone registers for a workshop, a follow-up plan is automatically created.
What to expect:
- A follow-up task appears after someone registers.
- You'll only see the current task that needs your attention.
- The full follow-up plan can be viewed from the contact's profile.
- If someone registers after business hours, the first task will be due on the next business day.
- The follow-up plan automatically closes when all follow-up attempts have been completed or the contact's status changes.
Workshop Confirmation Reminders
If someone is registered for a workshop, you'll receive a reminder before the event.
What to expect:
- A reminder appears one day before the workshop.
- The reminder stays open until the workshop begins.
- If the workshop date changes, the reminder updates automatically.
Appointment Request Follow-Ups
When someone requests an appointment through your online scheduling page, a follow-up plan is created.
What to expect:
- A follow-up task appears after the appointment request is submitted.
- Requests submitted after business hours are due on the next business day.
- The follow-up plan closes when the contact's status changes or all follow-up attempts have been completed.
Appointment Confirmation Reminders
Appointment reminders help ensure upcoming appointments aren't missed.
What to expect:
- A reminder appears before the scheduled appointment.
- The reminder remains until the appointment day or until it has been completed.
Appointment Status Updates
After an appointment has taken place, you'll receive a follow-up asking you to update the outcome.
This includes:
- Free Screens
- Initial Evaluations
- Patient appointments
What to expect:
- The task appears shortly after the scheduled appointment time has passed.
- If the appointment falls on a weekend, the task becomes due on the next business day.
- The task closes once the contact's status has been updated.
Workshop Attendance Follow-Ups
After a workshop ends, you'll be prompted to record what happened.
What to expect:
- A follow-up appears shortly after the workshop has ended.
- Update whether the attendee attended, no-showed, or had another outcome.
- The task closes once the attendee's status has been updated.
No-Show Follow-Ups
If a contact is marked as a No Show, a new follow-up plan is automatically created.
This applies to:
- Workshops
- Free Screens
- Initial Evaluations
What to expect:
- The follow-up appears as soon as the contact is marked as a No Show.
- If the No Show is recorded on a weekend, the first task will be due on the next business day.
- The plan closes when the contact's status changes or all follow-up attempts have been completed.
Report Download Follow-Ups
When someone submits a form to receive a report or downloadable resource, a follow-up plan is created.
What to expect:
- A follow-up appears after the form is submitted.
- Submissions received after business hours are due on the next business day.
- The follow-up closes when the contact's status changes or all follow-up attempts have been completed.
Email Campaign Follow-Ups
Some marketing email campaigns can create follow-up tasks.
What to expect:
- A follow-up is created when a contact responds to or engages with a supported email campaign.
- Each campaign creates its own follow-up group.
- Standard patient and phase-based automated campaigns are not included.
Manual Follow-Ups
You can also create your own follow-up reminders at any time.
What to expect:
- Choose the date you'd like the reminder to appear.
- Manual follow-ups stay open until you mark them complete.
- Completed manual follow-ups remain visible in your history for 90 days.
Business Hours
Most automatic follow-up tasks use business hours when calculating due dates.
For example:
- If a lead submits a form after business hours, the first follow-up will usually be due on the next business day.
- Weekend events or submissions are generally due on the following business day.
The exception is Manual Follow-Ups, which are due on the exact date you select, even if it's a weekend.
Frequently Asked Questions
Why do I only see one follow-up task for a contact?
The Follow-Up page only displays the current task that requires action. Any future steps remain part of the contact's follow-up plan and will appear when it's time for them.
What happens if a workshop or appointment is rescheduled?
Any related reminder tasks automatically update to match the new date and time.
When do follow-up tasks disappear?
Tasks are removed once:
- They have been completed,
- The contact's status changes (when applicable), or
- The follow-up plan expires after a period of inactivity.
