Sending Green Ink Letters to Patients:

Writing Green Ink Letters to patients creates loyal customers that promote your practice through word of mouth in the community. It's essential that you write these on the day of discharge.

Here are the steps to writing a Green Ink Letter to a patient:

  1. Acknowledge. Write a handwritten letter and acknowledge that person for what they did. Recognize and admire them for getting through treatment.
  2. Personal. Mention something personal and unique to them. This can come from a conversation you had, such as taking a trip, getting back to sports, etc.
  3. Soft CTA. Include a small ask or directive.

Sending Green Ink Letters to Referring Physicians:

Writing Green Ink Letters to physician offices aims to build trust and prove expertise with that office. If it feels more natural, include this note in the comments section of the initial evaluation paperwork.

Here are the steps to writing a successful Green Ink Letter to physicians:

  1. Thank You and Acknowledgment. Thank the physician for the referral.
  2. 1 Before and After Objective Item (if relevant). Briefly mention what you're treating and reference how the patient is doing.
  3. Future Pace and Forecast. "I will continue to update you on their progress."

Additional Tips:

  • It’s okay to use other media but direct mail is the most memorable.
  • Position GILs as a tool amongst your staff. You can incentivize these letters to provide even more value to your staff.
  • Test out different strategies with your Green Ink Letters! You can get creative with card stock, pen color, drop-off vs. mail, etc.
