What is Call Tracking?
Call Tracking lets us accurately count, record, and deliver incoming calls and texts using a unique tracking phone number.
Breakthrough uses this technology to help staff capture all leads and owners track marketing efforts. This is incredibly helpful when you are just launching a marketing plan and want to learn where your leads come from, what they respond to, and how your staff interacts with them.
What is a Tracking Number?
Your tracking number is like a "mask" for your practice number. It routes incoming calls to the practice number you provide in your location settings.
You choose the area code for your tracking number during onboarding. If you ever need to change the area code or phone number, contact support@getbreakthrough.com.
Phone Leads
While you may get various calls to your tracking number, Breakthrough defines a 'Phone Lead' as any call lasting more than 20 seconds and coming from a unique phone number in a rolling 31-day window.
Anytime a lead calls your tracking number, you will receive a Phone BOOM. The call is recorded and will populate in the Call Log of your Chat Log.

FAQ
Why isn't my clinic phone number showing on my email campaigns? Can I use my regular phone number instead?
- The number shown in all campaigns and landing pages will be the tracking number assigned to your account. This is so that you can collect data on these calls and review recordings. Breakthrough uses this technology to track calls so that you can have a record of every lead. This is incredibly helpful when reviewing your leads and where they come from, what they respond to, and how your staff interacts with them.
Can I choose my tracking number?
- You choose the area code for your tracking number during onboarding, but the full number is automatically generated and can't be customized.
- Your tracking number will route directly to the phone number you list on your location settings. If you ever need to change the area code or tracking number, contact support@getbreakthrough.com.
How do I listen to recorded calls?
- Click on Chat Log, then select Call Log to see a record of all calls. You can listen to calls using the Play button.
Can I create a contact from the call log?
- Yes! If a caller is not in your system yet, you can click 'Add as Contact' to quickly save their information while you're on the phone. You will see a field for their first name and their email; these details will be required to save the contact in Breakthrough. You can always edit the details later from the contacts tab.
- If there is no option to Add as Contact, and instead you see a contact icon, this means the phone number is already stored in your system. When this happens, the contact's name should also show in the call log. You can quickly view their name, email, and phone number using this button but will not be able to make edits to the contact from the logs.
How do I delete calls?
- We don't recommend deleting any calls, since every call is useful data (even if they are short!); however, should you need to delete calls you can do so using the red trash can icon on the far right.
- Note: Be cautious when doing this. Using the delete button for calls will delete all calls associated with that phone number, not just that call!
